We currently have the opportunity for an Admin Assistant to join our London Macquarie Asset Management Private Credit team. It will be your responsibility to assist the wider Executive Assistant team to provide support to an extremely busy office.

This is a fast-paced role requiring a positive, confident and proactive approach. Your responsibilities will include: preparing meeting rooms including IT, drinks etc; processing of Amex and out-of-pocket expenses; onboarding new suppliers on Coupa, processing invoices and following up approvals and payment status + raising purchase orders; ordering office supplies – stationery, pantry, cleaning products and general office supplies; printing, binding, scanning, gathering meeting materials and sorting and distributing mail + arranging courier deliveries for external mail.

You will also be assisting with diary management including arranging both internal and external meetings; booking of business travel and accommodation, taxis, visas, meeting rooms, Zoom calls, restaurants etc; cover the other assistants in the team when on leave; assisting with internal events; setting up new shared mailboxes/ Distribution lists when required; uploading documents to the Private Credit Dataroom and chasing approvals; attaching e-signatures to PDFs; and assisting in organising team / client events.

To be successful in this role you will have a can do attitude with a strong willingness to learn new skills and the ways of Macquarie. You will also have the ability to work with various personality types and be able to demonstrate a proactive approach with the ability to fully understand the nature of the business and priorities within the team.

You will also have:

  • intermediate skills in MS Word, PowerPoint and Excel
  • the ability to work well under pressure, manage workload and deadlines effectively
  • be resourceful and have the ability to work independently as well as within a team
  • have excellent verbal and written communication skills
  • the ability to exercise appropriate judgment and discretion, especially when handling confidential information.
