Job description

The Independent Commission on Civil Aviation Noise (ICCAN) has recently been established as an Advisory Non-Departmental Public Body to become a credible and authoritative voice on aviation noise issues.

The objective of ICCAN is to bring together industry, communities and the Government to ensure best practice is followed and information is shared and communicated in an accessible way. We aim to identify any improvements needed to industry and give communities a greater stake on aviation noise issues.

We’re seeking a Private Secretary and Business Support officer to support the commissioners, senior management and the wider team in the delivery of the agreed work programme. You will be expected to provide high level, effective administrative support and exercise skilled communication to establish relationships with the team and wider stakeholders.
 

Responsibilities

Your responsibilities will include, but not be limited to:
• Provide a PS service to the Secretary to the Commission and the Head Commissioner, including diary management, preparation of meeting packs, minute-taking, management of travel and the archiving and retrieval of information according to the information assurance policies.
• Ensure the smooth running of the office, the management systems and all associated processes. Manage the diaries of the Commissioners and Senior Management Team.
• Undertake day to day management of the team’s finances to include liaising with suppliers, raising purchase orders and processing invoices for payment.
• Provide administrative support across the Secretariat, including in relation to training, event and meetings management and, where appropriate, personnel management.
• To deal and liaise effectively with senior staff and their PAs externally and internally on a daily basis, for example other Government departments.

About you

You will be responsible for the smooth running of the secretariat including liaising with the Commissioners. Therefore, it is essential you can demonstrate a high standard of organisational skills, an exceptional eye for detail and an ability to anticipate needs.

As part of the role, you will be highly effective at communicating in writing to a broad range of senior internal and external stakeholders when producing minutes or any associated documents. You will come with the ability to use your own initiative when deciphering conflicting priorities.

You will bring experience of working as a personal assistant to senior management in a complex organisation along with exceptional working knowledge of the whole Microsoft package with ability to quickly adapt and learn new programmes.
